Recheck Contractor Licence Validity Over Time

Build a recurring licence review process for contractors. Assign renewal ownership, plan expiry alerts, and bind new evidence to the right assignment.

Plan licence renewal when you approve the first contractor assignment. Set an owner, a review date, and an action for incomplete evidence. A contractor can move between assignments with different requirements.

DigiLocker can provide issued driving licence records through the approved route. Your operation decides which licence evidence and validity period each assignment requires. DigiLocker document FAQ.

Design a recurring review schedule

FieldExample for a dispatch system
PersonContractor account bound to the original check
AssignmentVehicle or work type covered by the decision
Evidence dateWhen the document was retrieved and checked
Relevant expiryDate for the required period or class
Review windowTeam-defined time to request fresh evidence
Responsible ownerOperations role that resolves outstanding cases
Access outcomeAssignment permitted, held for review, or closed

Store the review date separately from the document's recorded expiry. Operations may need to begin a review before the expiry date.

Handle renewal during a scheduled assignment

A synthetic contractor has a licence that expires on 30 November. They are scheduled for an assignment on 2 December. The system sends a reminder before expiry. It also shows the reviewer which assignment depends on renewed evidence.

If a new document arrives, create a new observation. Check its owner, type, issuer, and relevant dates. Apply policy to the assignment again. Preserve the earlier evidence with its earlier decision.

Use a review state for records with missing dates. An operations owner can request the approved alternate evidence without marking the new assignment as cleared.

Separate renewal from permanent access

Do not keep an upstream token solely to avoid asking for a new grant months later. Design each recheck around the permissions and purpose approved for the next attempt.

If you keep a local decision, define when staff may see it and when it should expire or be removed. A notification should link the operator to a restricted review screen. Avoid putting the document details in the notification. Consent expiry and revocation.

Test the recurring workflow

  1. Set up a synthetic contractor with two future assignments.
  2. Place one assignment after the relevant expiry.
  3. Confirm the reminder reaches the assigned owner.
  4. Add a new result with a later expiry.
  5. Recheck only the assignments that need the updated evidence.
  6. Confirm the audit history retains both decisions.
